The Executive Assistant provides support to the Department Heads and Department members. General Duties and Responsibilities: Performs under general direction and will function autonomously without constant instruction. Performs diverse and advanced administrative / clerical duties for the Executive-level Manager(s) and his/her team. Schedules and coordinates executive's and team's calendar, meetings, appointments and schedules travel reservations. Assembles, analyzes and tracks information for the executive and team. Prepares reports, agendas, correspondence and memoranda for the executive team. Responds to all mail, email and telephone inquiries with follow through in an executive/military and front office environment - high level of discretion and professionalism required. Ensures that requests for action or information are relayed to the appropriate staff member without delay and with follow through. Coordinates collection and preparation of operating reports, such as budget expenditures, statistical records, performance data plans layout of reports, statistical tables, and prepares materials in final form. Use of common computer applications, specifically Microsoft Office applications. Specialized Responsibilities: Technical writing skills. Ability to cover functions supporting the Admiral when his Yeoman is unavailable. Experience in the development, implementation and maintenance tracking of government systems and networks. Responsible for scheduling and funding requirements. Will have experience in operational effectiveness reviews to ensure functional or project systems are applied as designed and are operating satisfactorily and with quality assurance. Competence and innovation in the use and application of advanced information technology tools and techniques preferably in the use of Navy tools such as: BSA, PMACS, CMPRO, and Window SharePoint Services. Use of advanced information technology to develop and / or integrate complex data to include: requirements analysis, project management procedures including out year budgeting for programs involving OMN, FMS, OPN, SCN, and RDT&E monies. Development of contract schedules, out year planning and POM budgets. Compliance planning and program planning. Knowledge of Navy correspondence, SPAWAR policies and other business related regulations, and the SLDCADA, DTS programs, are preferred. Must have knowledge of DoD standards and regulations such as the FAR, DFAR, OPM requirements. DSS
